What we're building with Assembly: event management for agencies

Assembly is coming soon. Here is the problem it is built for, what it is designed to do for the crowd and the crew, and how to get early access.

Assembly is an event management system from Thinkiyo for experiential agencies, promoters and production companies. It is coming soon, and it is not yet generally available. This post explains the problem we are building it for and what we are designing it to do.

The problem

A typical agency event runs on a stack of separate tools:

  • Ticketing platforms.
  • RSVP spreadsheets.
  • Quote threads in email.
  • Vendor chat groups.
  • Work order templates.
  • Call sheet docs.
  • Printed door lists.
  • Budget sheets.

Guests end up in three places. Haggling happens off the record. The call sheet drifts. At the door, someone counts with a clicker. And every event has two sides, the crowd and the crew, that rarely share a record.

The idea: two sides of every event, one record

Assembly is designed so the producer, the door team and finance all work from the same event record.

The crowd

What we are building for attendees:

  • Ticketing by tier, with capacity per tier, promo codes and a capped sell-out.
  • QR check-in at every gate, with a live headcount by tier and by gate.
  • An attendee list across every event that stays with you.

The crew

What we are building for vendors:

  • Vendor tenders. Publish a public or invite-only tender for each category. Vendors apply with an amount, a timeline and a cover note.
  • Bid comparison. Each bid shown next to years in the trade, rating, past jobs with you and response time.
  • Logged negotiation. Every counter-offer recorded in rounds.
  • One-step awards. Awarding a vendor closes the other bids and generates a work order PDF and a payment record.
  • A call sheet with every vendor slot from load-in to load-out.

How an event would run

The flow we are designing for, from first brief to last payment:

  • 3 weeks out. Tenders go out.
  • 2 weeks out. Bids compared, work awarded.
  • 10 days out. Tickets move to the next tier.
  • Show day, morning. Load-in by the call sheet.
  • Show day, doors. Doors open and the live headcount runs.
  • Morning after. Thank-you messages and payments.

The principles

These are the same ones every Thinkiyo product follows:

  • Runs in your cloud. Your own cloud account, or servers you run.
  • Data you control. Attendees, vendors, bids and work orders in your own database. An attendee list is one of the most valuable things an agency builds.
  • Nothing sends itself. A person on your team approves anything that goes to attendees or vendors, including reminders, follow-ups and tender invites.
  • Set up with you. A Thinkiyo team will set it up and stay after the first show.

How it will fit with other Thinkiyo products

  • Rapport for the client and sponsor pipeline behind each event.
  • Mosaic to join attendees with your other customer sources into one profile.
  • Momentum for agents that follow up the leads who came through your doors.

Getting early access

Assembly is in build. Join the waitlist, and the Thinkiyo team will contact you when early access opens.

Who it is for

Assembly is designed for event and experiential agencies, promoters and production companies running concerts, launches and corporate events. It suits teams that sell tickets and hire crews for the same event, and want both sides in one place.

What we are not saying

Assembly is not available yet, so we are not making claims about performance, capacity or integrations. The details above describe what we are building. When early access opens, we will publish what is live and what is still to come.
