How fast should you reply to a WhatsApp lead?

Why speed matters for WhatsApp leads, the 24-hour window you need to know about, and a simple system for replying fast at any hour.

Short answer: as fast as you can, ideally while the buyer still has the chat open. A WhatsApp enquiry is a conversation someone started on purpose. If nobody answers, they ask the next business on their list, often in the same minute.

The longer answer is about how to make "fast" happen every time, including at 11 pm and on Sundays.

Why speed matters more on WhatsApp

People treat WhatsApp like a conversation, not a form. They expect a reply the way they would from a friend. Three things make delay expensive:

  • The buyer is shopping now. They are often messaging several businesses at once. The first useful reply sets the terms.
  • Context fades. An hour later, they have moved on. The ad they clicked and the product they wanted are no longer front of mind.
  • The window closes. WhatsApp has a hard rule about how long you can reply freely. See below.

The 24-hour customer service window

On the WhatsApp Business Platform, a customer's message opens a 24-hour customer service window. Meta's documentation says: "Businesses can only send non-template messages to users when this window is open." If the customer messages again, the timer resets. Outside the window, you can only send pre-approved template messages, and only to people who have opted in to hear from you (Meta WhatsApp pricing docs).

In practice: a lead you answer tomorrow afternoon may be a lead you can only reach with a template. Reply inside the window, while the conversation is natural.

What a good first reply looks like

Speed without substance does not help. "Thanks for reaching out, someone will contact you" wastes the moment. A good first reply:

  • Answers the actual question: price, stock, availability, timing.
  • Uses the buyer's language. If they mix two languages, reply that way.
  • Offers one clear next step: a visit, a call, a demo slot.

Example: a buyer asks for a bridal set under a budget at 11:42 pm. A good reply lists what is in stock within that budget and offers a store visit on Saturday at 11 am.

How to reply fast at every hour

Few teams can staff WhatsApp around the clock. A practical setup:

  1. Answer instantly with an agent. An AI agent trained on your products, prices and policies replies in seconds, day or night.
  2. Qualify while you talk. Capture need, budget and timeline in the conversation, and score the lead.
  3. Book the next step. A visit, a call or a demo goes straight into a salesperson's calendar.
  4. Hand over cleanly. The salesperson gets a summary and the full chat, so they never start with "how can I help?"
  5. Let people take over. A rep should be able to take over the chat in one tap.

Follow up, but stop when asked

Many leads go quiet after one message. That does not mean no. A short sequence across channels, such as a call, then a WhatsApp with the brochure, then an email, gives them a second chance to reply. Two rules:

  • Stop the sequence the moment they reply.
  • Respect "not now" and opt-outs, every time.

Know which ads bring buyers

Speed is easier to fund when you can show it pays. Keep the campaign and ad on every lead from the first message to the closed deal. Then you can compare cost per meeting and cost per sale by ad, not just cost per click.

A quick checklist

  • Reply inside the 24-hour window, ideally in minutes.
  • Answer the question, in the buyer's language.
  • Offer one next step.
  • Hand over with a summary.
  • Follow up, then stop when asked.
  • Track the ad behind every sale.
